This notice explains how PT Iji Home Group(“Iji Home”, “we”, “us”) processes your personal data when you use the Iji Home Owner Portal (the “Portal”).
Who we are
PT Iji Home Group is an Indonesian company (PT — Perseroan Terbatas, the Indonesian form of a limited liability company) providing property management services in Bali, Indonesia. The brand we use with villa owners is Iji Home. For any matter related to this notice or your data rights, contact us at: vladyslav.tronov@ijihomegroup.com.
What data we process
- Identity: your full name as recorded in your management contract.
- Contact: your email address, used for sign-in and notifications.
- Unit assignment: which villa units you own, as kept in our internal records.
- Login telemetry: session timestamps and IP addresses, for security and audit.
- Derived booking data shown to you: gross revenue, occupancy, average daily rate and a privacy-safe booking calendar — all computed from the Iji Home property management system (PMS). The Portal does not display, and we do not process on your behalf, guest names, guest contacts, or booking source/channel.
If you do not provide this data
If you do not provide this data we cannot give you access to the Portal, because your unit ownership and your identity are essential elements of your management contract with Iji Home. Providing this data is therefore a contractual requirement of your agreement with us.
Why we process it
To provide you with the Portal as part of our property management services to you (lawful basis: performance of the contract between you and Iji Home).
Who has access
- You and any representative with whom you share your sign-in.
- Authorised Iji Home staff for support and audit purposes.
- Our hosting provider (Singapore region) operating the Portal infrastructure on our instructions.
We do not sell your data and we do not use it for marketing.
Cross-border data transfer and security
Our hosting is located in the Singapore region. The transfer of your data between Indonesia, Singapore (where the server is located) and EU countries (where some owners may reside) is governed by contractual safeguards with our hosting provider (Standard Contractual Clauses or equivalent contractual obligations that satisfy the requirements of GDPR Chapter V and Indonesia’s UU PDP regarding cross-border transfers). We do not share your data with any third party outside this operational chain.
How long we keep it
We retain your account for the lifetime of your management contract plus 12 months for tax and audit purposes. After that period we delete or anonymise the account data. Booking-level records form part of Iji Home’s business accounts and are retained in accordance with Indonesian accounting law. You may request earlier deletion, subject to lawful retention obligations.
Your rights
- Access your data.
- Rectification of inaccurate data.
- Erasure — the “right to be forgotten”, subject to lawful retention obligations.
- Restriction of processing.
- Portability — receive your data in a structured, machine-readable format.
- Object to the processing.
- Lodge a complaint with your local data-protection authority (for EU residents — the relevant national DPA; for Indonesia — the authority designated under UU PDP).
- Right to claim compensation for violations of your rights regarding the processing of your personal data, as provided by Indonesian law (UU PDP 2022). You may bring an action and seek redress if your rights as a data subject are infringed.
To exercise any right, write to vladyslav.tronov@ijihomegroup.com. We respond within 30 calendar days.
Security
Access requires authenticated sign-in over HTTPS. Authentication credentials and PMS-integration secrets are stored in a managed secrets vault and are never embedded in code.
No automated decision-making
The Portal does not make automated decisions about you. It only displays operational performance information for your units.
Changes
If we plan to change how we process your personal data, we will notify you by email before the changes take effect, so that you have time to review them and object if you wish. The “Last updated” date above marks the most recent such change.
Two notes about the numbers
- The Portal shows gross figures. Your quarterly statement remains the authoritative source for net payouts after commissions, taxes and expenses.
- Complementary stays are counted in occupancy and lower the average daily rate, so the Portal reflects the real economic picture.
